Outlook 2003 Calendar


Personal Schedule
The Outlook calendar can be used as a personal calendar to keep track of appointments. To view the calendar, simply select Calendar from the navigation bar on the left (as shown below).


Creating an Appointment
To create a new appointment, click on New, which is an icon that can be found below the file menu. The appointment scheduler allows you to include specifics about your appointment, set a reminder that will play a sound and pop up a message at the time you wish, and schedule your time in the calendar as busy, tentative, or free.


Planned Meetings
Creating a planned meeting is an effective and easy way to ensure all the people you want at your meeting can make it at the specified time. To create a planned meeting, click on Actions Plan a Meeting while viewing the Calendar (as shown below).


Once you are viewing the Plan a Meeting window, you can type the name of the person with whom you are having a meeting in the All Attendees column. The persons schedule will appear automatically to the left. From there, you can click on the Autopick Next button to select the best time for all the attendees. This feature will only work for attendees who are using Outlook, and maintain their Calendar.


Setting Permissions
A nice feature available with the Outlook Calendar is the ability to share it with others. To do this, you need to give those people permission to your calendar. Simply click on Share my Calendar, which is found in the Navigation bar on the left.

To add a new member, simply click "Add." You can then select the member from the GAL and set the Permissions you wish this person to have. When you are done, click OK.
