Outlook 2002 Address Book
Using the Global Address List, (GAL)
| This is the University's Address book. When using
Outlook, you no longer need to maintain a list of all the different
University contacts. To get to the Global Address Book without
creating an email, click Tools, and then Address Book. |
 |
|
Now type in the name, and it will come up in the Global Address
List.
|
 |
Using Contacts
| The Contacts folder is a place to keep your non-USNH
e-mail addresses or personal distribution lists. Along with
being able to store their e-mail address, you can store their mailing
address, phone numbers, and many other bits of information.
A contact can be added by highlighting the word Contact in
the folder list, and then double clicking in the blank space in the
right window. |
 |
| This will allow you to include information in addition
to the e-mail address. When finished, click the Save and
Close button. |
|
For information on the Shared Contacts Folder, click here.
Setting up a Personal Distribution List:
| A Personal Distribution List is a group of people to
whom you can send the same e-mail message simultaneously. To
create a personal distribution list, while the contacts folder is
viewed, click on File, New, and Distribution List. |
 |
| This window will now appear. To add names to this distribution
list, click Select Members. |
 |
| Now select the names from the Global address list or
your Contacts list. To add people to the list, highlight their
name and click on Members (or by double clicking on the name).
When you are finished, click OK. |
 |
| Now give the list a name. Choose a name that helps
you remember what all the people in the list have in common.
When you are finished, click Save and Close. |
 |
| After clicking OK, this window will reappear.
As you can see, the personal distribution list has been added to your
Contacts Folder. To view the membership of a personal distribution
list, or a distribution list in the Global Address list (will appear
in bold), double-click on it. A window will pop up that lists
the members of the list. |
