Outlook 2002 Calendar

The calendar can be viewed in many different ways.  This view shows what appointments you have on the specified day, along with a two month calendar and a task listing. It appears when you have highlighted the word Calendar in the folder list (above the word Inbox). This view can be customized to meet the users needs by re-sizing each of the panes.

Creating an Appointment

To create a new appointment, click on the Calendar icon that is shown below the file menu.  The appointment scheduler allows you to include specifics about your appointment, set a reminder that will play a sound and pop up a message at the time you wish, and schedule your time in the calendar as busy, tentative, or free.

Note:  The calendar icon will not appear unless the word calendar is highlighted in the folder list.

 


Planned Meetings

Creating a planned meeting is an effective and easy way to ensure all the people you want at your meeting can make it at the specified time. To create, click on Actions, and Plan a Meeting while the word Calendar is highlighted in the folder list.

This window will then appear.  If the person you are having a meeting with is using Outlook, type their name in the All Attendees column, and their schedule will appear automatically to the left.  You can then click on the Autopick Next feature to select the best time for all the attendees.  This feature will only work for attendees who are using Outlook, and maintain their calendar.

Setting Permissions  

A nice feature available with the Outlook Calendar is the ability to share it with others.  To do this, you need to give those people permission to your calendar.  Right-click on the word Calendar in your folder list.  When the window pops up, scroll down to the word Properties and click on it.

    Now that the Calendar is shared, the person you gave permissions can open your Calendar by clicking on File, Open, Other User's Folder..., and typing your name in the box and making sure that Calendar is selected as the folder to open.  You can also create a shortcut to their calendar on your desktop.  For directions on how to do that, click here.

This window will now appear.  You need to click on the Permissions tab at the top of the window.  The default will already be shown.   To add a person, click on the button Add.  The global address list will pop up.  Select the person you wish to give permission to your calendar to and click on add.   When you are done, press OK.

Now you need to give these people the type of permission you want them to have.  To do this, click on their name in the window.  Then click on the down arrow to the right of the word Permission Level: and select the type of role that person should have.  You can see what each role does by clicking on it and looking at the options it gives below the drop down menu.
